## Sticking it to the HOA(s)

Occasionally there are scenarios where all the players are villains and you hope everyone loses. This isn’t quite that…but for some people it’s going to be close.

Many, many people hate their Homeowner’s Association (HOA). It’s not unusual for this hatred to come from petty tyrants on the board or petty snitches reporting their neighbors. As a simple example, a lot of years ago we put up our Christmas tree early. Like the first of November early. We were going to be traveling a lot during the holidays and options were early or late, so we put it up early. This was the Christmas tree INSIDE our house. It was visible in the front window, but it was in our house. Someone complained to the HOA board. My wife happened to be at the meeting. Long story short, the Christmas tree stayed up as a giant ~~middle finger~~ symbol of the holidays.

[There is no evidence that David Efrem Katz, 56 was trying to stick it to the HOA, but boy did he do it on a grand scale.](https://www.justice.gov/usao-mn/pr/former-cfo-pleads-guilty-embezzling-more-3-million-employer) Katz was the CFO of Durand and Associates  (D&A), a property management company that primarily serviced HOAs. Between 2012 and 2017 Katz stole $3 million from his company and customer HOA’s.

Katz started as an accountant in 1998 eventually rising to CFO in 2012. Katz’s base salary was a miserly $47,500 so Katz went a head and paid himself $6,500 every two weeks. Essentially more than tripling his salary.

I have to give Katz credit. Once he was in, he was all in. Katz opened credit cards in the company’s name and put personal expenses on them. He took out a loan in the company’s name. He reimbursed himself for expenses never incurred. All of this was done with company funds, and according to the indictment, client HOA funds as well.

Katz hid the expenses with false entries, no surprise. I do want to stop and look at this. Katz committed payroll fraud, loan fraud, credit card fraud, expense reimbursement fraud. He really went all in. This is up there [Myeong-se Oh from ABB South Korea](/100-million-fraud-at-abb-in-only-2-years/) who factored company receivables to get more money to steal.

I wasn’t able to find out how he was caught, but the fraud lasted through 2017 and Katz finally plead guilty in 2023.

## Payroll Fraud: Raise your own pay 10X

We’ve all felt underpaid at various times. This feeling of being underappreciated is a little miserable and can motivate people to act. They find a better job, go back to school for a new degree, or just steal.

Our story today looks at another law firm. In March of 2022, [Christiane Irwin pled guilty to stealing $1.48 million from her employer.](https://www.goingconcern.com/controller-inflated-salary-doj/?utm_source=feedly&utm_medium=rss&utm_campaign=controller-inflated-salary-doj)

Irwin worked as the controller for the law firm [Simon Greenstone Panatier](https://texaslawbook.net/mystery-dallas-law-firm-bilked-out-of-1-48m-by-former-controller/). Her salary was reportedly $140k a year and part of her job was submitting payroll details to the firm’s payroll provider. Starting in 2019 Ms Irwin began inflating her own salary, first by $30k/month rising to $49k/month by the end. These amounts were direct deposited as part of her payroll every 2 weeks. In total she is alleged to have received improper payments of $1.48 million over 3 years.

This seems simple enough. Jacking up your salary when you have responsibility for payroll isn’t sophisticated. Any number of controls could have caught this. A review of payroll, a review of budget to actual for payroll. Even an independent bank reconciliation might have found some good questions to ask. By the end this was like hiring another 3 1/2 Christiane Irwin’s at her salary.

Most law firms are light on back office staff. Attorney’s are outwardly focused on clients and they put their money into staff that can be billed out. That’s why we’ve seen a couple of frauds related to law firms, but it’s not a good excuse for ignoring the basics of good controls.

## Would You Hire a Fraud?

We’ve seen plenty of cases of good people gone bad. Not all fraud at the top starts that way. Carlos Ghosn was by all accounts a great CEO. Tom Girardi was a great lawyer. Temptation can happen to anyone, but if you start by hiring people more likely to commit crimes, you’ll get more crimes. As a suggestion, maybe do a background check for people with financial access.

Prior to starting this series, we talked about [Bonnie Sweeten](/wp-admin/post.php). B[onnie claimed that she and her daughter had been kidnapped.](https://www.yourtango.com/news/kidnapping-hoax-mom-bonnie-sweeten-charged-another-fraud) In fact, Bonnie was at Disney World living it up with her daughter using cash and identity stolen from a co-worker. Bonnie got jail time. After getting out of jail, Bonnie got a job at a law firm and was convicted of stealing more than $600k from her employer and family members. Unsurprisingly this led to more jail time. After 8 years, she was released and a friend gave her another opportunity, this time as a bookkeeper of all things. Sweeten promptly forged checks and made fraudulent purchases on the company credit card.

We talked about [Angela Phan](/wp-admin/post.php) who was hired as an accountant off of Craig’s list, worked one day, and stole $15k over 18 months using her 1 paycheck. There’s no indication of previous fraud in the news story, but maybe hiring accountants off of Craig’s list isn’t ideal.

Finally, we have today’s story, [Business Rapper, Crypto Rapper](https://www.youtube.com/watch?v=_DIuPPmY9mw), alias Razzlekhan, [and self-described Crocodile of Wall Street, Heather Morgan](https://nypost.com/2023/01/18/crypto-rapper-razzlekhan-lands-nyc-tech-job-while-under-house-arrest/). Heather and her husband Ilya Lichtenstein have been accused of trying to launder $4.6 billion in Bitcoin stolen via a 2016 hack of Bitfinex. Note that the pair is not accused of committing the hack, just trying to launder the money. [They also weren’t very good at it](https://www.bloomberg.com/opinion/articles/2022-02-09/business-rapper-was-bad-at-bitcoin-laundering?cmpid=BBD011723_MONEYSTUFF&utm_medium=email&utm_source=newsletter&utm_term=230117&utm_campaign=moneystuff#xj4y7vzkg).

In 2016 119,754 bitcoins were stolen from Bitfinex. At the time they were valued at $71 million. Bitcoin has gone up since then, hence the $4.6 billion valuation now. 94,636 of those Bitcoins have been recovered from the original wallet they were moved to after the heist. Morgan and Lichtenstein are accused of using fictitious identities, multiple accounts, chain hopping, and other techniques to hide the source of the bitcoin, with withdrawals made via Bitcoin ATM. Lichtenstein’s cloud storage account was found to have decryption keys to virtual currency addresses directly tied to the attack.

Lichtenstein is being held without bail while Morgan is free on a $1 million bond and confined to house arrest. But this isn’t a story about crypto laundering. The story is that Heather Morgan now has a new job, while under house arrest, working for an unnamed New York tech firm “in the role of growth marketing and business development specialist.”

Yes, she made a bit of a name for herself with some cringe-worthy rap, but hiring someone on house arrest gives new meaning to working from home. I know it’s a weird job market out there, but you would think with the great resignation and mass tech layoffs, surely there are better options.

If you’re hiring folks into financial roles, do a background check. Actually, do a background check anyway. Lots of non-financial roles carry a risk of fraud or loss including jobs like warehouse work. Plus today’s marketing intern could become tomorrow’s event planner overseeing hundreds of thousands of dollars of marketing spend. Apply due diligence in hiring and don’t buy trouble.

Update 7/10/23: There are a couple of good podcasts on the Crocodile of Wall Street case. The [Hacked episode](https://podcasts.apple.com/us/podcast/crocodile-of-wall-street/id1049420219?i=1000584615166) was fun and raised some interesting questions on how the stolen bitcoin would be returned and whether it belongs to Bitfinex or its users. Additionally they mentioned that at the max valuation of $4.6 billion this would have been the largest heist in history surpassing all bank robberies combined in the history of the US.

## Girardi Keese – When Good Companies Go Pyramid Scheme

[Tom Girardi was a pillar of California law](https://www.latimes.com/california/story/2020-12-17/tom-girardi-erika-jayne-rhobh-divorce). Girardi won the case that inspired the movie “Erin Brokovich”. His firm, Girardi Keese, dealt primarily in toxic torts. These included cases like tainted water, plane crashes, cancer from hormone therapies, etc. Toxic torts can be big, complicated, and hard to win. If Girardi Keese won, their clients could get a huge payout, and the firm would get as much as 40% of the total. Tom Girardi was the only partner.

However, these are contingency cases. Girardi Keese might put out a large amount of money in expenses for experts, testing, etc., and wait years for a win. If they lost, they would get nothing and be stuck with the expenses.

Tom Girardi was a law celebrity. He was picked by California Governor Gavin Newsom to be part of a panel tasked with filling state judgeships. He had a trophy wife, a wannabe pop singer named Erika Jayne. The two of them appeared on Bravo’s Real Housewives of Beverly Hills. There were a pair of ex-wives as well. By all accounts, Girardi was also rich. He had a Pasadena estate, exotic cars, you know, the works. At one point, divorce filings revealed his income to be around $263,000 a month.

It’s easy to pick on the trophy wife, so we’ll do that for a minute. Erika Jane was by her own admission expensive. She waited tables in the bar of a restaurant that Giardi co-owned and that’s where she met Tom. In her memoir, [Pretty Mess](https://amzn.to/3ZVe3u3), Erika wrote, “There was nothing more I could buy”. So she decided to be a pop star, with some success. She even had a [song](https://open.spotify.com/track/2G8MDb25Oed8ZAx6qUG7Q8?si=e026e37e85384e72) and [video](https://www.youtube.com/watch?v=3hL99eTKil8) named ‘[XXpen$ive](https://open.spotify.com/track/2G8MDb25Oed8ZAx6qUG7Q8?si=e026e37e85384e72)’. Just a note, these aren’t work friendly. You’re on your own if you click those links. It’s also apparently expensive to try to become a pop star. But just as Erika decided to hang up her risque videos, Real Houswives came calling and she had to keep up.

In addition to an expensive wife, Tom Girardi had also been borrowing money. Large contingency cases can take time and cost a lot. As his finances deteriorated, Girardi borrowed from firms that would fund lawsuits, at interest rates as high as 20%. That’s not exactly mafia rates, but it is credit card level. Girardi is also accused of pledging the same collateral to multiple lenders. Finally, there are allegations that loan funds were going to Erika Jayne’s career.

Somewhere along the way, it all went wrong. It’s clear that money is missing, as much as $100 million. It’s also clear that as much as $10 million was stolen in a separate but related fraud we will cover next week. (This story keeps on giving.) Tom may have overspent on his trophy wife and his lifestyle during a period when he was not winning enough cases. It could be as simple as that, too much going out and not enough coming in. Still, it seems clear that Girardi did one of the few things that will bring scorn, even from other lawyers, he moved money from his trust account to his operating account. When he did that, he stole funds set aside to pay plaintiffs.

The first public hiccup came in 2014 when about two dozen women filed suit alleging their payout from a cancer lawsuit did not match up. Girardi borrowed money and settled the lawsuit. The debt suits kept piling up and they were publicity nightmares. Orphaned Indonesian children in a settlement with Boeing over an airplane crash didn’t get their money. There was a worker with burns over 50% of his body from a pipeline explosion. He didn’t get his money. Girardi’s second wife even showed back up wondering why her $10k a month payments had stopped.

Ultimately, Girardi was forced to admit he was broke. The money was gone. Effectively Girardi Reese had morphed into a Ponzi scheme. Once money left the trust account, old cases were paid with new money and borrowed money. There is no way to fix that cycle without putting money back in.

My wife used to be a title agent. The firm she worked for handled the cash and conducted real estate closings. They also had a trust account that worked the same way. It doesn’t take many pending house sales in the $200k-400k range to carry a couple of million dollars in a trust account, and that’s for a small firm. Girardi was big. The trust account had to have been a tempting target, but stealing from Indonesian children orphaned in a plane crash is next-level bad.

Where were the accountants in this you ask? Why didn’t Girardi Reese’s CFO raise the red flag or publicly quit in protest when money moved from the trust account to an operating account? Tune in next week to find out.

## Swisher Hygiene cleaned up fraudulently

- URL: https://dynamicaccounting.net/swisher-hygiene-cleaned-up-fraudulently/
- Date: 2023-04-14
- Topics: Fraud, Audit & Controls, Accounting & Career
- Type: original article

We’re back to a fraud at the top, but again with a couple of twists.

Swisher Hygiene was a sanitation company. They sold cleaning supplies and chemicals for restaurants and other businesses. Essentially a lot of kitchen and bathroom cleaning. In 2010 the company went public on the Toronto Stock Exchange via a reverse takeover.

Almost immediately, Swisher’s CFO Michael Kipp engaged in a scheme to smooth earnings. Commonly called [Cookie Jar Accounting or Cookie Jar Reserves](https://www.accountingtools.com/articles/cookie-jar-accounting.html), this scheme seeks to manipulate earnings to meet a specific target like net income or EPS. It is often used to smooth earnings and consistently meet earning requirements. In a typical scheme companies pad reserves in good years and deplete them in down years to present a smoother earnings line.

The problem with Cookie Jar Accounting is there can be a fine line between a legitimate adjustment of reserves and fraud. Reserves typically require some form of judgment which is why they are ripe for manipulation. It is not uncommon to see companies fined by the SEC for violations related to reserves without those violations resulting in fraud charges.

Assisting Kipp was Joanne Viard, a CPA and the Director of External Reporting. Kipp was also in line for an $88k bonus if the company hit earnings targets. So far, this sounds like straightforward financial statement fraud. [The financial statements are alleged to have been manipulated by as much as $96 million over several years.](https://www.pressreader.com/canada/stockwatch-daily/20180412/281500751831885)

The first unusual piece here is how they got caught. Swisher’s Controller pushed back on a suspicious request. [From the Justice Department’s report:](https://www.justice.gov/usao-wdnc/pr/federal-judge-convicts-two-former-swisher-hygine-inc-executives-securities-fraud)

> “The accounting fraud scheme began to unravel when Swisher’s then Controller pushed back on making a fraudulent entry during the year-end close. The Controller wrote in an email, “I’ll run it by BDO [Swisher’s auditors] so we’re on the same page,” to which Defendant Kipp responded, “You’ll run it by me since I’m the chief accounting officer. I’m out of patience with this.” Later, Kipp fired the Controller for his persistent refusal to book the fraudulent entry. Swisher’s Audit Committee learned of the Controller’s allegations and promptly commissioned an independent internal investigation.”

Pushback like this that leads to identifying fraud is pretty unusual.

The second unusual piece is that I was doing some ERP consulting there at the time the fraud was identified. We were pretty deep in the weeds so it wasn’t clear at first what was going on. Imagine the largest conference room in your organization stuffed with accountants and auditors all billing at the highest hourly rate you’ve ever seen. They are there before you arrive in the morning and still there when you leave at night. Fraud is expensive, and the clean-up after fraud is expensive as well.

I saw some pretty messy parts at Swisher around bank reconciliation and some fixed asset policies, but we were focused on fixing processes, not reserve accounting.

Ultimately Kipp and Viard pled guilty and the US assets of Swisher Hygiene were sold to competitor Ecolab.

Per the Association of Certified Fraud Examiner’s annual report, having an option for whistle-blowing, a hotline, website, something is the number one way fraud is ultimately caught. We saw this with the $8 million fraud at ING and All the Queen’s horses. It was ultimately a big piece of Enron’s unraveling as well. At Swisher, we had fraud at the top and collusion. That’s enough clout to bypass a lot of controls, but someone still took their fiduciary responsibility seriously and did their job.

That is always the hard part about fraud at the top. If you see it, expect to lose your job, either because your report it, or because the fraud ultimately brings down the company. There is a pretty good argument that if you think you see fraud at the top, go get another job.

## Craiglist Accountant Fraud – What a Difference a Day Makes

- URL: https://dynamicaccounting.net/craiglist-accountant-fraud/
- Date: 2023-01-27
- Topics: Fraud, Audit & Controls, Accounting & Career
- Type: original article

My colleague Frank Vukovits and I talk about this case a lot. While it seems simple on the surface, there are a lot of unanswered questions and I have not been able to track down answers.

The base story is simple, Angela Phan was hired as an accountant for Triplematic Dispensers via a Craigslist ad. She worked one day and stole almost $15,000. [The St. Louis Post-Dispatch story seems to be primary, but it’s behind a paywall.](https://www.stltoday.com/news/local/crime-and-courts/accountant-hired-via-craigslist-bilks-maryland-heights-firm-out-of/article_3c4d47fb-9abf-545c-be4d-dc5bcd4ec1ca.html) [KSDK has an overview for free.](https://www.ksdk.com/article/news/crime/woman-hired-off-craigslist-steals-14000-from-company/63-286074202) Both articles are thin.

With a little digging, we find that we don’t know why Angela only worked one day. We don’t know if she quit or was fired. None of the articles say what day she actually worked. We just know that the fraud started in July 2014 and she wasn’t caught until December 2015.

Let’s back up. This is simple check fraud. Angela worked one day and got a paycheck mailed to her. The paycheck obviously had the company routing number and account number on the check as all checks do.

Angela is alleged to have used that information to pass fraudulent transactions through Triplematic’s bank account to the tune of $14,720.21. If you just read the headline **[Accountant Worked One Day, Allegedly Embezzled $15k](https://www.goingconcern.com/accountant-worked-one-day-allegedly-embezzled-15k/)** it’s funny. When you realize the fraud went on for 18 months it gets weird. That’s a long fraud for only 15k. Phan gets points added for patience and deducted for stealing small amounts. If you’re going to commit felony identity theft (what she was charged with), don’t skimp.

A lot of people have suggested that Triplematic brought this on by hiring an accountant via Craiglist. I tend to agree, but she was gone after a day. We’re all allowed an occasional mistake. What I don’t understand is how this continued for 18 months. From the St. Louis Post-Dispatch article:

> “The company later noticed several unauthorized transactions had been made on the business checking account. The company’s bank said at least one of the transactions was made to an account connected to Phan.”

Assuming the articles are correct, why didn’t they catch these in the July 2014 bank rec and close the account? Why leave this open for 18 months?

I’m intrigued enough by this story that I poked around [Missouri CaseNet](https://www.courts.mo.gov/cnet/welcome.do) to see if could find a final disposition. The articles indicate that she confessed to a felony so there should be some kind of resolution, but I couldn’t find anything. That means that Angela Phan could still be out there answering Craigslist ads for accounting jobs.

How do companies prevent this?

1. Maybe don’t hire accountants off of Craigslist and do a little due diligence on candidates. In fairness, anyone who gets a check has routing and account information.
2. Use a dedicated payroll account that doesn’t carry extra cash. This makes extra payments stand out.
3. Perform bank reconciliations in a timely manner and investigate suspicious or missing payments.
4. Use positive pay on the account to reject unauthorized payments. Positive Pay is a bank feature used as a control for checking accounts. Account holders submit authorized payments to the bank. Unmatched payments are rejected. Alternatively/Additionally, banks may present transactions online with a short timeline to reject unauthorized transactions.

## Underused Software Syndrome

- URL: https://dynamicaccounting.net/underused-software-syndrome/
- Date: 2021-02-08
- Topics: Excel & Office, Install, Upgrade & Admin, Accounting & Career
- Type: original article

Do you have low level anxiety, a feeling you’re not getting everything you could out of your existing software? Is there a nagging guilt that it’s your fault? Does it seem if only you had more time or training you could really master that piece of software and life would be so much easier?

**Welcome to Underused Software Syndrome!**

I’ve searched for a term for this phenomenon and not found one so I’ve decided to coin my own. Feel free to set me straight if this anxiety already has a name.

I see this low-level fear a lot. The idea that there is something more, some magic, hiding in a piece of software. Finding this magic would result in a life of unicorns, rainbows, and tropical drinks…or so we believe. Part of the challenge is that occasionally we do stumble onto a feature that solves a significant problem or increases productivity. That reinforces the syndrome. Surely the developers added more features like the one we just found if only we had time to look harder. With Underused Software Syndrome, we think software problems are our fault. While it’s right to want to be more productive and to solve problems, it’s wrong to blame yourself.

Underused Software Syndrome manifests frequently in business software users. Users of applications like ERP systems (accounting), CRM (sales), and even Office apps like Excel are common sufferers. The software is so big and complex that user’s blame themselves for not being more efficient. This seems to be a form of impostor syndrome mixed with a little FOMO, the fear of missing out. The user feels that despite their knowledge of their job and the relevant software, they don’t know enough and they aren’t good enough. Surely everyone else is getting more out of the software.

I’m sure this feeling isn’t limited to business software. Video editing and graphic design software seem more than complex enough to generate Underused Software Syndrome feeling. I just have more experience with business software.

In some cases, there’s a financial element to the feeling of Underused Software Syndrome. The idea that software is expensive, and it’s fiscally responsible to use as many features as possible, can sometimes underly the feelings of anxiety. Much like an underused gym membership, people feel guilty if they aren’t fully utilizing it.

In other examples, anxiety may manifest itself based on unfulfilled expectations. Users believe that a software package should have a particular feature and that feature should behave a certain way. Features often manifest differently than expectations leaving users with a vague feeling they missed something.

Finally, there is the fear of missing out. For example, lots of people use Excel and lots of people use a tiny fraction of Excel’s features. Even if they know a feature is there, they have to remember the feature exists at the time they want to use it. Most people are not experts in a given software and most are not getting more out of it than you are.

People like me make this worse. For a long time, I’ve helped people get the most out of the software they own. But that was part of my job. It’s also something I really enjoy, and yet I feel Underused Software Syndrom symptoms about software I deeply understand.

I differentiate underused software from shelfware. Shelfware is software that is not being used. The organization may still be paying maintenance or fees for software they aren’t using at all. Shelfware is easier to address. Ignore the sunk costs and cancel any maintenance or monthly fees. Alternatively, revisit why the software was purchased in the first place and potentially put it to use.

Underused software is harder. The organization is getting some value from the software, maybe not enough value to match the cost, but value nonetheless. It’s hard to toss out software that is being used.

I have a couple of thoughts on options to address underused software and it’s related syndrome:

1. Accept that value is being generated by using the software. Even if it’s only used for a small task, it is still helping accomplish the task. Accept that this software does this task and move one. Sometimes you just need to accept something and move on.
2. Evaluate the value of that task against any ongoing costs. A small task with a big cost is not a good value proposition. In that case, it may make sense to figure out if there are additional uses or if it’s time to switch to something else.
3. Pick one thing to improve and search for that. You’d be amazed at what’s available for any given piece of software. Maybe there’s a need to automate a process or export data, whatever. Someone else has probably already tried it and written about it. At a minimum, you’ll get an answer that something can’t be done. Even in that worst-case scenario, a quick answer makes it easier to stop obsessing and move on to the next thing.
4. Make sure the organization has the latest version. Underused software may be neglected enough to be on an old version. Updating can reveal improvements in features and UI that help resolve anxiety.
5. Get some help. It’s a big world. There are books, classes, training, blogs, videos, you name it, on some of the most obscure software ever made. There are resources to help. Use them.

“But I don’t have enough time” is the common refrain. There is a problem, but not a priority. People find the time for a priority. It’s okay if this isn’t a priority right now. When it becomes a priority you’ll make the time. Until then, don’t stress about it.

## GP Easy Security Bonus: What’s the job? Really?

- URL: https://dynamicaccounting.net/gp-easy-security-bonus-whats-the-job-really/
- Date: 2019-03-05

[In this series, we’re looking at quick fixes to improve GP security. ]

As users make security changes like the ones described, there are often requests to retain excess access. The key with these is to really consider job being done and ask lots of questions.

For example, the CFO role should be an executive job, not a job that involved entering journal entries. In most organizations, that same thinking should apply to the Controller position. A Controller may help shape a journal entry, assist with getting the accounts right, etc, but the Controller should be asking someone else to make an entry, not processing transactions. Executive jobs are not transactional jobs.

This trickles through to other roles as well, and it’s important to ask the same questions.

What is this person’s job? Their responsibilities? Their role in the organization? What access is appropriate?

In many cases users ask for convenience access. For example, a request may be for access to window that is the only place with a certain piece of information. Vendor Maintenance is one example. The Vendor Inquiry window doesn’t contain everything on the Vendor Maintenance window. This is trap. Grant access to a report or SmartList instead. If the user needs the information, the format its delivered in should be less of an issue.

If there are alternative ways to accomplish the same result, use those. If not, companies need to consider the risk/benefit of allow excessive access.

Requests like these may be made to support or backup another individual, but granting access year-round to back up two weeks of vacation leaves a pretty big hole open most of the year. It’s convenient for the user and administrator to grant this access, but it’s a poor security choice. Is the benefit of not changing security twice a year worth 50 weeks of risk?

## Doctors, Dinner and Dynamics GP in Kenya

- URL: https://dynamicaccounting.net/doctors-dinner-and-dynamics-gp-in-kenya/
- Date: 2012-07-05
- Topics: Accounting & Career
- Type: original article

For the last eleven days we (me, my wife, both kids and about 40 others) have been doing missions work in and around Nairobi, Kenya. We worked with a  local church and school founded by [World Hope](http://www.weareworldhope.com/) at the edge of the Kawangware slum. Our work included a three day medical clinic where we provided exams and medication to more than 900 people. We did a one day feeding program where we fed roughly 600 folks. We also brought electricity to the two buildings at Hope Academy. I want to offer a huge thanks to everyone who contributed to make this trip possible. You helped us make a difference.

But this is a Dynamics GP blog so let me bring this back to Dynamics GP and accounting skills. On the trip we had doctors, nurses, school teachers and a veteran utility lineman (he climbs electrical poles for a living). All of these folks have skills perfect for this trip. I’m an accountant. I can’t tell malaria from a runny nose. Fortunately I’m a Dynamic Accountant so there were plenty of places to apply my skills, even if they weren’t obvious.

 - Inventory – at every stage of the trip we were counting things. We counted people, luggage, money, you name it. I can count.

 - More Inventory – before we could setup a makeshift pharmacy to support the doctors, we had to separate and count the various medications that we had brought. I think you can see where this is going. Accountants rock at counting and labeling things.

 - Forms – During intake, we took basic information from everyone going through the clinic. Things like name, symptoms,  weight, pregnancy status, etc. We were primarily concerned with factors that affect medication dosing.  I worked intake for two days and if you’ve ever done any tax work (personal, corporate, sales and use, tangible personal property, etc.) you quickly become an expert at filling out forms.  Intake was a blast. I got to ask men if they were pregnant. The joke of having to completely fill out the form, even if the question is irrelevant,  is funny in both English and Swahili. Some of the Kenyans were still laughing about it at the end of the trip.

- Feeding – We didn’t run people through a soup kitchen line. People in our group (with direction from our Kenyan friends) cooked high nutrition meals based on specially fortified rice. We hand cut potatoes, carrots and cabbage and turned the whole thing into a sort of Kenyan stew to layer over the rice. We then individually served every person who came in and sat down. Finally we picked up each  plate  and did it all again. There was a pretty significant distance between the kitchen and where we were serving and an unusual rain the night before left much of the grassy areas under water. While it wasn’t a global supply chain, I certainly got to use plenty of my logistics experience overseeing the chain from the kitchen to the diners and back.

I also got to encourage some accountants. [Kenya has CPA’s](https://www.icpak.com/?option=com_content&view=article&id=56&Itemid=37) . The church’s finance director , Action Jackson as he’s known to us [mzungu](http://www.urbandictionary.com/define.php?term=mzungu),  is a CPA. The church administrator, Fred, and one of the security teams members, Amos, are both studying to be CPA’s. They had lots of questions and we got to bond over accounting.

We were on the bus one day reviewing what medications we had remaining when I got a glimpse of the invoice from across the bus. It looked familiar. They passed it over to me and I realized that the charity we had gotten our medication through was using Dynamics GP. There is something about that Report Writer based invoice. After looking at it for more than 10 years I can spot one from across room or a across a bus, even 8,000 miles from home.

I wrote this for you to understand that accounting is a profession. The skills you develop are useful in scenarios that you can’t imagine today. Dynamics GP is a global product. You never know where you are going to find it. I want to encourage you to develop both your accounting and Dynamics GP skills. You never know when you might get to do something really special with those skills.

[For the curious, I couldn’t find Diet Mountain Dew at/in: JFK (NY), Heathrow (London), the entire city of Nairobi,  Charles deGaulle (Paris) or Miami International. I also didn’t pack any in my suitcase due to weight constraints. No, my 11 day stint in Diet Dew rehab didn’t do a thing for my addiction.]

## CFO.com and Financial Reporting Spreadsheets

- URL: https://dynamicaccounting.net/cfo-com-and-financial-reporting-spreadsheets/
- Date: 2012-06-05
- Topics: Excel & Office, Accounting & Career
- Type: original article

In a May 31, 2012 article , CFO.com provides a decidely negative take on financial reporting using spreadsheets in their article Spreadsheets Still a Crutch in the Financial Reporting Process.

Except of course that the article is wrong. When “More than 70% of the 1,100 global executives interviewed in a survey by Oracle and Accenture said they used spreadsheets to track and manage financial reporting on a daily basis” changing their behavior by taking away spreadsheets is the wrong answer.

The article makes it clear that a common usage for Excel is to present financial reports. If data is being pulled from other systems into Excel for better formatting, it doesn’t make sense to take away Excel, as suggested in the article. Changing the behavior of 70% of global users is a fool’s game.

A better solution is to use something like [deFacto](http://www.defactoglobal.com/) to leverage the 70% already using Excel. [deFacto](http://www.defactoglobal.com/) uses Microsoft Excel as the interface for financial reporting. Data is still stored securely in Dynamics GP for reporting. This is NOT simply exporting to Excel. It’s using the full power of Excel to design and build financial statements without having to go through a formatting dance every month end.

It is also not the spreadsheet mess created by storing the data in Excel. The data is regularly pulled from Dynamics GP and stored a SQL Server analysis cube for easy, powerful and secure reporting without bogging down transactional processing.

Taking away spreadsheets is not the answer. Leveraging Excel with the power of deFacto and analysis services is.

At Decisions 2012 (free registration) I’m presenting an introduction to Corporate Performance Management (CPM). We will look at what CPM is, what it isn’t and see some representative software options for the mid-market.

CPM can help you better manage your planning, budgeting, reporting and forecasting process. In the end, one output of CPM is a set of financial statements. But what do those financial statements REALLY say about your company?

If you’re intrigued by financial statement analysis, or simply want to know if you’re ailing company is going to survive the next two quarters, I’ve become a fan of Grumpy Old Accountants and recommend that you check them out as well.

Their analysis of Groupon in particular was a fun read, especially when contrasted with Facebook. We make choices about how we treat and present financial information. Our choices say a lot about our organizations.

If it were not for the intensive Becker CPA review course there is a good chance that I would never have passed the CPA exam. I was married with a baby and one on the way.  You can imagine how much study time that gave me and self study wasn’t cutting it. So I took the Becker class. I showed up twice a week. I did crazy amounts of homework and then I did it all again in the last two weeks to have the option of retaking the course…and I passed the exam. You’ll forgive me if I’m a little overboard with getting my CPE credits.

I learned today that Newt Becker, the founder of the Becker CPA review course, has passed away. There are a lot of CPA’s in the GP community and many have worked with Becker materials over the years. So this is my thank you to Newt Becker and the entire organization.

## SAS 70 Being Replaced

- URL: https://dynamicaccounting.net/sas-70-being-replaced/
- Date: 2011-02-16
- Topics: Fraud, Audit & Controls, Accounting & Career
- Type: original article

Technology people can ignore this post. This is for the accountants in the room. Companies that outsource service portions of their of their business (think Payroll to ADP) have requirements around ensuring the controls in place at those organizations. Previously a SAS 70 Audit was used to report on internal control at service providers but there were lots of problems with that. Companies misrepresented the value of a SAS 70 audit in sales literature calling themselves SAS 70 compliant when there was really no standard to comply to. As a result of problems and the growth of new outsourcing options like cloud computing the AICPA is replacing SAS 70 with Service Organization Control Reports.

What does this mean to you as a GP user? It means that as you look at ISV outsourced solutions and other outsourcing options that may plug into Dynamics GP it’s time to start looking for SOC not SAS 70. If your vendor gives you a blank stare when you say SOC send them to http://www.aicpa.org/InterestAreas/AccountingAndAuditing/Resources/SOC/Pages/SORHome.aspx and then maybe get a little nervous about the vendor.

## No CPE at Convergence this Year

I seem to be the only blogger who cares about CPE, so be it. I asked if MS was offering Continuing Professional Education credits for Convergence this year as they have in the past. I was told that they will not be offering CPE.

I’m struggling with how big a deal to make over this. I know that it makes a difference for accountants. I’ve talked to plenty of accountants who use Convergence to learn about GP and help fulfill education requirements. I’m one of them. I don’t want you to skip Convergence because they are not offering CPE this year. There is too much good stuff planned. Heck, I’ve got too much good stuff planned for you.

I also know that IT folks and non-CPA accountants don’t care. They tell me that too.

So if you want CPE back at Convergence you need to do a couple of things:

1. Drop me a note, attach a comment, etc.. If I get a pile I’ll forward them on.
2. Go to Convergence anyway this year and express your desire for CPE to everyone. Put it on every evaluation for every session that you attend. Tell every MS employee that you meet.

Microsoft pays attention to evaluations. If folks don’t go, MS won’t get the message because they won’t know why you didn’t go.

All three of my loyal readers realize that I’m a big fan of S[teve Bragg’s Accounting Best Practices](http://stevebragg.libsyn.com/index.php?post_category=podcasts) podcast. Now that all the DBA’s have left the room, I’m going to ask them to come back in because this is relevant to you too.

In [Episode 53 of the Accounting Best Practices podcast,](http://stevebragg.libsyn.com/index.php?post_id=279279) Steve takes a look at implementing best practices. The thing is, most of his examples are systems related and all of the advice is good, whether you’re implementing a full system or just adding something like Safe Pay to GP.

So why do the DBA’s in the room care? Well Steve’s written over 30 accounting books. He’s not an academic though, he’s also a CPA and the CFO of a public company. This way, when your CFO wants to do something dumb, like throw the switch on Core Financials, Distribution and Manufacturing all at once on Christmas Eve, you’ll have some heavy weight backup when you suggest a phased rollout alternative.

The podcast is short, under 10 minutes but the advice is right on. Send it to your CFO or Controller and let them know you were thinking about them.

[CPA Technology Advisor gives GP 5 stars](http://www.cpapracticeadvisor.com/article/10274272/2007-review-of-high-end-accounting-systems) in their 2007 review of high end accounting systems.
Then again NAV, Accpac 500 and Sage MAS 500 all got 5 stars too. I’m sure they are all great programs but when everybody gets the same score it’s more like everyone getting a trophy in kindergarten than a serious review. I’ve found CPA Technology Advisor to be more marking focused than hard hitting and that comes out in this review. In their defense, it is tough to do a review of a monster package like GP in a short period of time. You have to live with it to really understand it. In a related note, I’ve voted and given this blog 5 stars.

Tami Reller, long time GPer has moved out of the GP space at Microsoft and is now the CFO of Microsoft’s Platform & Services Division. Thanks to Carroll Livingston of NCSI for that. I missed it the first time around.

Dennis Howlett of AccMan fame agrees that most of Sage’s products are in maintenance mode so it’s not just me saying that.

I have a GP Rocks podcast that I have to get out. It’s all my fault. Well, my fault and the Dallas Cowboys and the Orlando Magic and my family. Ok, it’s really all my fault. You should see it this week.

If you ever get a chance to go to a Microsoft CFO Roundtable event — GO!. Yesterday’s event was with Craig Bruya, Microsoft Business Solutions’ CFO. It was 5 of us and Craig for 2 and 1/2 hours.
He had a presentation prepared but we had lots of time to ask questions around MS, Dynamics, product direction, etc. It was pretty cool and it was certainly NOT was I was expecting. I was expecting something much bigger, instead, I got the hardest thing to get at MS — access. Don’t pass one of these up if you get a chance.
I didn’t mention that I would blog the meeting so I won’t talk about specifics. There was nothing proprietary but it was interesting to hear answers from someone high up in the MBS hierarchy, off the cuff, no script. It was also fun to hear some stories from someone who has both been yelled at by Balmer and yelled back. Ha!Ha!
Thanks to Angie at epartners Tampa for the invite.

Everyone reading this knows how to follow a link so I won’t post the full job description here, you can find it on Monster at this link . This person will report to me, so you might want to read my blogs before you apply 😉

We normally funnel all applications through HR but as an experiment, if you find this blog entry, send your resume to me directly using this email: [acctsuper@mpolino.com](mailto:acctsuper@mpolino.com) and only this email. I will guarantee that I will look at your resume and that it won’t get filtered by HR. No promise of a job, just a direct pipe to me.

Enron’s former CFO and convicted felon Andrew Fastow talks with the CFO writer who first chronicled his “groundbreaking” manipulation of accounting rules.

I’m old enough that I only had two chances a year to sit for the CPA exam and I had to take it on paper. It took three months to get scores back so if you failed, you’d lost three months of study time.

My wife was induced a couple of days early with the birth of our daughter. Part of rational behind that was that the CPA exam date fell really close to her due date. If I got called out the exam to go the hospital, it was six months before I could take the exam again. That was also the time that I passed, so it worked out well.

Is it [Time to Clean Up Your Master Data ?](http://ww2.cfo.com/it-value/2014/03/time-clean-master-data/view-all/)

Master data is interesting. Assuming only a single primary repository like Dynamics GP still results in master data issues and often, it has nothing to do with system.

My favorite example goes like this: You have multiple offices across the country. They all use AT&T for phone service (cellular or POTS line, it doesn’t matter). Each location gets their own bill.

Ideally you have one vendor and you send one check. Each location is coded individually and it’s easy. Except that if you do that, AT&T will misapply the check to one location and cut off phone service at the others.

I’m picking on AT&T but every major corporate and government entity is like that. GP supports multiple addresses for a single vendor, but getting users to use that correctly is challenging too. Splitting AT&T into multiple vendors makes really easy to get the payment right and the phones stay up. It makes analysis harder, because now there a dozen AT&Ts.

Frankly, keeping the phones running is normally more important than analysis and a good chunk of the factors are external, not internal. There may be other ways to address this but what I’ve just described is typical. Master record cleanup works better when you understand some of the factors behind what made the mess.

One of the interesting things I learned at last year’s [GPUG](https://www.gpug.com/) Summit (2010) was that a number of people were looking at cloud deployments because they were unhappy with IT an wanted them out of the mix.

Well, the cloud is all the rage and it certainly has some areas where it’s a great fit. CFO’s have to deal with additional considerations when deciding whether moving to the cloud is the right answer. Currently CFO.com has a look at the Hidden total cost of public cloud ownership.

It’s worth a read to make sure that you are taking a 360 degree look at your business when considering ANY solution.

In a rare post, completely unrelated to GP but still related to your job working with GP, don’t ever do this:

## Told to “Do Something” with Funds, He Stole Them

…According to paper, the accountant said he had taken the money after other supervisors and managers explained to him that the federal funds were accounted for as spent, making it impossible to reconcile account balances or explain why money was still there. Crosson told the court that a former boss had advised him, “and I quote, ‘You’re the accountant. Do something with it.'” So Crossen said that he put the money into his own account “while someone could determine what to do.”…

This is slightly off from my usual fare but why not. For those of you using GP who do a lot of numeric entry and are always looking for the tab key, look no more. [RTAB](http://www.r-tab.com/) is the accountant’s keyboard with the TAB and ESC keys added to the right of the 10 key on a standard style keyboard. If you don’t have minions to do your data entry or if you are a minion, this may be just the thing to get you out of Dynamics GP and home at a reasonable hour.

At $40 it’s not cheapest keyboard out there but hey, you get 2 extra keys and the CFO will realize it’s cheaper than hiring a minion to do entries for you!
